Toolbox talks
Recording the talk, signing attendance from each technician's own device, and re-opening completed talks for audit.
When ICOP requires one
A toolbox talk is a short, focussed brief delivered to the crew before exposure changes — not a generic site induction. ICOP expects a fresh talk at:
- ● Start of shift, every shift.
- ● Any change of conditions — weather turning, scope extending, a new sub joining the crew, a new drop opening up.
- ● After a near-miss — debrief what happened, what got caught, what changes from here.
- ● When a new hazard surfaces that the SWMS didn't anticipate.
Recording a talk
- 1.Open the job. Tap the Toolbox Talks tab.
- 2.Tap + Record toolbox talk.
- 3.Fill in Topic, Date/Time, and Notes. Be specific — “wind picked up to 35 km/h, agreed to descend before next gust front” reads better in an audit than “weather discussed”.
- 4.Save. The talk now appears at the top of the Toolbox Talks list with attendance pending.
Multi-attendee sign-off
Every technician on the job team signs their own attendance from their own device. Open the talk, tap Mark my attendance, draw your signature on the freehand pad, confirm. Signatures are stored as smooth vectors — the same visual quality as pen-on-paper.
The card shows a Team sign-off (N of M signed) roster — green-checked chips for technicians who've signed, dim/Pending chips for those who haven't. The supervisor sees the gap at a glance and can chase the holdouts before activating the next exposure.
If a crew member can't sign on their own device, a supervisor or admin can tap Sign on their behalf (proxy sign). Both names are recorded on the audit trail — the crew member as the attendee, the supervisor as the signing coordinator.
Re-opening a completed talk
Tap any historical talk in the Toolbox Talks list to expand it in place. The notes and the full signers list render under the card — date/time, drawn signatures, and the audit metadata for each one.
You don't leave the tab — there's no separate detail screen to navigate to. Useful when an inspector asks “what did you brief the crew about that gust front yesterday?” and you need to surface the answer in seconds.
Audit trail behind every attendance
Every attendance signature on a toolbox talk carries an evidence record: ISO timestamp, GPS lat/lng, IP, and browser/device user-agent. For attestation-mode signatures, the device ID is also captured. Missing GPS is recorded explicitly — never silently faked.
