Subcontractor portal

Professional tier feature. Invite subs, track their compliance in real time, stop chasing paperwork.

The subcontractor portal is available on the Professional plan only. If you're on Starter, you'll see the portal menu but it will prompt you to upgrade. Compare plans →

Inviting a subcontractor

  1. 1.Go to Subcontractors → Invite sub.
  2. 2.Enter the subcontracting company name and the contact email (usually the sub's admin or site manager).
  3. 3.Tap Send invite. The sub receives a link to a secure upload portal — no RopeLogix account required on their end.

What the sub sees

The sub opens the link and lands on a simple upload page. It shows:

  • ● Your company name.
  • ● A file upload field where they can attach a document and label it (e.g. SWMS, public liability, IRATA membership, workers' comp).
  • ● An expiry date field for certificates that have one.

The sub uploads, hits submit, and they're done. No account to create, no app to install.

Traffic-light dashboard

Your Subcontractors dashboard shows every invited sub with a status colour:

Green: all required documents uploaded and current. Good to go.
Amber: all documents uploaded but one or more are expiring within 30 days. Worth chasing now.
Red: one or more required documents are missing, expired, or overdue. Do not mobilise until resolved.

Sending chasers

If a sub hasn't uploaded within a reasonable time, tap Send reminder next to their record. This sends a new email with the upload link to their contact address.

You can send a reminder manually at any time. RopeLogix also flags subs with expiring documents so you can get ahead of the problem before it becomes a mobilisation blocker.

Auto-roll into compliance feed

Uploaded sub documents appear automatically in your compliance feed alongside your own team's records. When you pull an audit export pack, the sub's certificates are included — no manual collation required.
